Transparency Mailbox is a secure, reliable and an independent tool 

Learn what it is, how it works and how to make a report through this tool. 

To achieve our purpose of "transcending, creating extraordinary experiences and transforming solutions," it is essential to have a healthy work environment and ethical and legitimate professional practices.  

To ensure decent working conditions for all employees, customers, and suppliers of the company, both nationally and internationally, and to ensure compliance with our Code of Ethics, in Vívaro we have the Transparency Mailbox.  

This tool allows all of us to make a report in case we observe any violation against the company's policies. The reports are received by an external company called Integrity Counts, which sends the report to the Corporate Governance area for proper follow-up. Karen Alejandra Zuñiga,Corporate Governance Manager, explained to us what our company's Transparency Mailbox is and how it works. 

Pixel: What is the purpose of the Transparency Mailbox? 

Karen: It is a way for collaborators to inform the company of areas of opportunity in terms of compliance with our Code of Ethics. If any collaborator knows of any malpractice by any other collaborator, supplier, client, or any person who interacts with Vívaro, he/she can report it to this mailbox. 

P: What was the reason that motivated the company to have this alternative? 

K: The values that permeate within the company and that are established in our Code of Ethics, must be part of the culture, the experience of the collaborators. We want them to feel secure in the development of their activities and we want the company to know the issues in which they are not complying with these guidelines.

What is the follow-up process for the reports in the mailbox? 

K: The report is received by an administration company, independent from Vívaro. They send us a written report, without sharing the voice of the person making the report. To provide us with this service, this management company signed a confidentiality letter.   

We receive the report and proceed to investigate the fact, with as much evidence as possible, to impute the commission of the infraction and ensure that a malpractice was committed by a client, supplier, or collaborator, regardless of their hierarchy. Investigations are confidential. We are interested in the safety and certainty of the collaborators, we respect them, we take care of them, and we want to know their concerns, because they are concerns of the company. 

Karen Alejandra explained that the Ethics Committee will soon be established to analyze each of the cases, with sufficient and real evidence to determine the corresponding sanctions.    

She also explained that the members of this committee will also be subject to investigation in the event of any complaint in their areas or against them.  

P: Could you give us some examples of bad practices? 

K:  For example, the use of profanity, making discriminatory or racist comments, misuse of work tools or not following control processes that imply physical safety consequences for the employee or financial consequences for the company.
